1. What Are Cookies
Cookies are small text files placed on your device to store information about your session, preferences, and activity. We also use similar technologies such as local storage, pixels, and SDK identifiers.
Cookies may be set by ROSSNEXUS.io directly ("first-party cookies") or by third-party services we use to deliver the Service ("third-party cookies"). Cookies may persist for the duration of a browser session ("session cookies") or for a defined period after the session ends ("persistent cookies").
2. Why We Use Cookies
We use cookies and similar technologies to authenticate users, secure sessions, remember preferences, route white-label sub-tenants to the correct branded environment, measure platform performance, debug issues, prevent fraud, and attribute booking, lead-capture, and onboarding events to the correct CRM environment.
3. Categories of Cookies We Use
Strictly necessary cookies — required for authentication, session security, CSRF protection, load balancing, billing checkout, and environment routing for white-label sub-tenants. The Service cannot function correctly without these.
Functional cookies — remember user preferences such as language, time zone, theme, dashboard layout, and saved UI state.
Analytics & performance cookies — collect aggregated, de-identified usage data so we can measure feature adoption, diagnose errors, and improve product quality.
Communications & attribution cookies — attribute booking, lead-capture, and onboarding events to the correct CRM environment so consent records and conversions are logged accurately.
We do not use cookies for cross-site advertising or behavioral ad targeting, and we do not sell personal data.
4. Third-Party Cookies & Sub-Processors
Our sub-processors span multiple categories — social platforms (e.g. Meta — Facebook, Instagram, Messenger, WhatsApp, Threads — LinkedIn, X, YouTube, TikTok, Google Business Profile), communication providers (e.g. Twilio), business applications and cloud services (e.g. Microsoft 365 / Entra ID / Graph, Google Workspace), payment processors (e.g. Stripe and Stripe Connect), AI services (e.g. OpenAI, Google AI and others accessed via the Enterprise AI Gateway), scheduling (e.g. Cal.com), and our hosting and analytics providers. Any of these may set cookies necessary to deliver their portion of the Service. These third parties operate under their own privacy policies, which we encourage you to review. Mobile phone numbers, SMS opt-in data, and consent records are never shared with third parties for marketing or advertising via cookies or otherwise. New integrations are governed by this section automatically.
4a. Marketing Pixels & Conversion APIs (incl. Meta)
ROSSNEXUS.io may deploy marketing pixels and server-to-server conversion APIs from supported advertising platforms — including the Meta Pixel and Meta Conversions API (CAPI), and equivalents from Google, LinkedIn, TikTok, and other ad platforms we may support in the future — to measure and optimize marketing performance. Where the Meta Pixel is used it sets first- and third-party cookies (including _fbp and _fbc) and may transmit hashed contact identifiers (e.g. SHA-256 of email or phone) so Meta can match conversions to ad impressions. Equivalent hashing and consent rules apply to other advertising integrations. We do not transmit raw contact data, SMS consent records, or sensitive category data to any ad platform. You may opt out of Meta interest-based advertising via your Facebook Ad Preferences and use the equivalent ad-preference controls offered by each other platform.
4b. Authentication, Session & Tracking Technologies
We rely on first-party authentication cookies, refresh-token storage, CSRF tokens, session identifiers, and short-lived OAuth state cookies (used to complete OAuth flows for supported integrations such as Meta, Google, Microsoft, LinkedIn, X, TikTok, Stripe, and others). These are strictly necessary and cannot be disabled without breaking sign-in. Aggregated analytics cookies measure page performance, feature adoption, and error rates; they are scoped to ROSSNEXUS.io and not used for cross-site behavioral advertising.
5. Managing & Disabling Cookies
Most browsers allow you to view, manage, refuse, or delete cookies through their settings. You can also use private/incognito browsing modes that limit cookie persistence. Note that disabling strictly necessary cookies may impair authentication, billing, scheduling, or CRM functionality and may prevent you from using parts of the Service.
For US residents, you may also exercise applicable rights under the CCPA/CPRA and similar state privacy laws as described in our Privacy Policy.
6. Do Not Track
There is currently no industry-standard interpretation of browser "Do Not Track" signals. ROSSNEXUS.io does not respond to DNT signals at this time, but we limit cookie use as described above and honor verified privacy-rights requests submitted to privacy@rossnexus.io.
7. Updates to This Policy
We may update this Cookie Policy from time to time to reflect changes in technology, regulation, or our practices. Material changes will be reflected by updating the "Last updated" date at the top of this page and, where appropriate, by additional notice through the Service.
