1. Information We Collect
We collect account and profile information, billing and payment metadata, CRM records and form submissions, scheduling activity, SMS / WhatsApp / email message metadata, device and usage analytics, support communications, and any data you or your end clients submit through environments hosted on the platform.
2. How We Use Information
To provision and operate your environment, deliver automations and onboarding workflows, process subscriptions and billing reminders, send appointment, account, and service-related notifications, support customers, enforce our Terms, prevent fraud, and improve product quality.
3. Communications & Messaging Consent
By submitting forms, scheduling appointments, requesting information, communicating with ROSSNEXUS.io, or using our services, you consent to receive conversational and transactional SMS, MMS, WhatsApp messages, appointment reminders, onboarding notifications, account alerts, billing and renewal reminders, and service-related communications from ROSSNEXUS TECHNOLOGIES LLC (DBA ROSSNEXUS.io) and any partner-deployed environment you interact with. Message frequency varies based on account activity (typically 2–8 messages per month per active workflow). Message and data rates may apply. Reply STOP to opt out, HELP for assistance. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties except messaging vendors, aggregators, and service providers necessary to deliver SMS communications.
4. Sharing of Information
We share data only with sub-processors required to deliver the Service — payment processors (e.g. Stripe), messaging providers (e.g. Twilio, WhatsApp), scheduling (Cal.com), hosting and infrastructure, and analytics. We do not sell personal data and we do not share mobile opt-in data or SMS consent with third parties for marketing.
5. White-Label Partner Data
For white-label deployments, the partner is the data controller for its end clients and ROSSNEXUS.io acts as data processor. End-client privacy inquiries should be directed to the partner-of-record.
6. Data Retention
Account, CRM, and messaging records are retained for the life of the subscription and for a reasonable period after cancellation for legal, billing, audit, and regulatory obligations. Deactivated environments may be purged thirty (30) days after termination.
7. Your Rights
Subject to applicable U.S. state privacy laws (including CCPA / CPRA), you may request access, correction, export, or deletion of personal information by emailing privacy@rossnexus.io. We respond within the timeframes required by your jurisdiction.
8. Security
We employ encryption in transit, role-based access control, audit logging, least-privilege architecture, and ongoing monitoring to protect data across the ecosystem.
